Job Summary:

The Administrative Assistant will provide exceptional internal customer service and administrative support to ensure the efficiency and effectiveness of all company areas and suppliers.

Key Responsibilities:

  • Screen and direct incoming calls, ensuring timely and professional communication.
  • Receive and manage correspondence, including coffee samples, and maintain a well-organized filing system.
  • Support employees with administrative tasks, providing a high level of customer service and ensuring seamless day-to-day operations.
  • Review and process supplier invoices, creating Purchase Orders (PO) as needed.
  • Coordinate business trips, including flight reservations, accommodation, and transfers, ensuring a smooth and efficient experience.
  • Monitor and manage corporate card purchases, maintaining accurate records and ensuring compliance.
  • Collaborate with the Human Resources department on special projects and events, providing administrative support as needed.
  • Manage petty cash and perform other administrative tasks as required.

Qualifications and Experience:

  • Professional degree in Business Administration, Finance, or a related field.
  • At least 2 years of experience in an administrative role, or equivalent experience within the company.

Technical Competencies:

  • Proficiency in SAP, with experience in using the system to manage administrative tasks.
  • Advanced skills in Excel and Microsoft Office suite, with the ability to create complex spreadsheets and presentations.

  • Assertive communication and customer service skills, with the ability to work effectively with employees and suppliers.
  • Strong teamwork and collaboration skills, with the ability to work in a fast-paced environment.
  • Ability to work under pressure and meet deadlines, with a sense of urgency and proactivity.
  • Intermediate to advanced English language skills, with the ability to communicate effectively with internal and external stakeholders.
