Facilities Analyst II

Responsibilities:

• Works with Global Regional Leads on IFM (Integrated Facilities Management) and rent expenses for approvals for invoice uploads file if the country is on JDE for accounting purposes. After uploading the file, must take each invoice and upload to APWF (accounts payable workflow) for the countries to enter tax codes and then the invoices routed back to Real Estate for a second approval.

  • Track receipt of file
  • Track approvals and then upload
  • Follow up with each Regional FM for lagging approvals and call out at month end any approvals not received to finance
• Rent invoices require upload to country queues for modification on the tax codes and then routing back to Real Estate.
  • Track each variance and subsequent CSV for upload timely for rent, matching invoices upon upload to the invoice in APWF
• Each upload for IFM and Rent require an audit function prior and during upload where each cost center and GL code. The file itself must be checked for compliance with Conduent guidelines for this type of file assuring all the fields are in the correct format. They file will have to be modified by the supplier or Melissa if not correct. All these files are time sensitive and turn around time is less than 4 days from input to payment.
• Initiates all RE US purchase orders and tracks approvals and monies from inception to completion, keeping all PO's in the RE tracker current and available for CIP and accruals every month.
• Uploads Capturis utility files every Monday and Wednesday
• Reminds Dir of RE ops US of any exceptions
• Prepares monthly the schedule by utility meter for international sites the meter and kWh consumption each month for sustainability reporting at year end. This is all invoices via LL or paid directly, sans Capturis, for every location.
• Confirms receipt of each accrual template for every country at month end and confirms with accounting the receipt and posting follows up with JLL on any skipped accrual files.
• Checks each accrual file for formatting and cost centers.
• General research on invoices in process or pending and provides payment information as requested.
• New vendor set up for all RE vendor in US and works with procurement for all other countries, following the protocol for each country.
• Requests new cost center number as appropriate and needed through finance – providing the basic information by CAT code.
• Provides JLL with P&L data based on sq ft or as designated in the respective leases for sub-tenant invoicing.
• Confirms sub-tenant invoicing and receipt of payments monthly.
• Escalates late sub-tenant receipts to lease administrator.
• Runs "ad-hoc" reports as requested, typically 6 to 10 per month for various RE directors and managers
