Contract type: Long-term position, starting with a 3-month probationary period

SUMMARY

ABOUT AMIGOS:

Amigos de Santa Cruz has worked within the seven communities of Santa Cruz La Laguna, on the shore of Lake Atitlan, since 1998. Our mission is to improve the lives of indigenous communities in Santa Cruz La Laguna and surrounding towns through educational support and sustainable economic empowerment. Amigos focuses on this small corner of the world to help break the generational cycle of poverty.

Our projects include: the "CECAP" Training Centre, support for local entrepreneurs, academic scholarships, reading programs for children, youth leadership and sexual education, and Siqajan School (a primary school).

In addition, we run two social enterprises: Tienda Manos Cruceñas and Restaurante Sabor Cruceño, managed by CECAP graduates. We serve an indigenous population of approximately 9,500 residents.

Our vision is that families in the Santa Cruz community live in a healthy environment with sustainable sources of income; for schools to provide quality education for children; and women, men, and young people to have a voice to make decisions within their communities.

ABOUT THE POSITION:

The Development Assistant is responsible for the coordination of institutional development activities, fundraising, and donor management, while also providing administrative support to the Executive Director.

This position has a 70% focus on development coordination and fundraising, and a 30% focus on executive support, with the objective of ensuring that operative processes are efficiently managed, strengthening donor relations and supporting collaboration with project management.

MAIN RESPONSIBILITIES

Development and Fundraising (70%):

Donor Databases Management: Maintain and update donor databases, conduct follow-ups and ensure donations and thank-you communications are up-to-date.

Grant Administration: Track grant application deadlines, prepare reports, and manage the organisation's grants calendar.

Communications Support and Donor Relations: Coordinate donor correspondence, assist with material preparation for donor meetings, and organise presentations and community visits.

Campaign Support and Fundraising: Monitor and coordinate fundraising campaigns, in collaboration with the Communications Associate, ensuring proper documentation and monitoring of donor interactions.

Offer Administrative Support to the organisation's ongoing Capital Campaign, including tracking pledged and received donations,, supporting events related to the campaign, and ensuring that deadlines are met.

Financial Reconciliation: Reconcile monthly donations and grants records in coordination with the accounting team.

Executive Support (30%):

Calendar and Agenda Management: Coordinate and manage the Executive Director's schedule, programming meetings, events, and important dates.

Administrative Support: Assist with general administrative tasks, including preparing reports, creating presentations and managing confidential documents.

Meetings Coordination and Logistics: Prepare and coordinate meetings, including logistics and preparation of necessary materials.

Internal Communication: Facilitate effective internal communication across the team.

REQUIREMENTS AND ESSENTIAL SKILLS

University studies in Business Administration, Communications, International Development, or Project Management.

Minimum of 1-2 years experience in similar roles (donor management, fundraising, project administration).

English Level B1 (intermediate), spoken and written.

Knowledge of Donor Management Databases (CRM, Little Green Light, etc.) and process automation tools.

Organisational and administrative skills with the ability to manage multiple tasks and deadlines.

Effective communications skills, both internal and external.

Commitment to the mission and vision of Amigos de Santa Cruz and the local community.

Proficiency in Google Workspace and Microsoft Office.

Ability to work under pressure and adapt to new systems and changes.
